It was my first month of taking over the admin and operations of my family business.
And I kept getting unwanted surprises.
Important tasks, especially the weekly ones and monthly ones, were simply not getting done. Not because employees didn't know about them.
But because nobody was asking about them.
And the only time I found out was when something went wrong.
The Tasks I Never Knew Existed
I categorize business tasks into three types: entrepreneurial, management, and technical.
The technical tasks were completely off my radar. They weren't in my sight. They weren't in my daily conversations.
They existed silently in the background. Getting done sometimes. Getting skipped other times. On nobody's priority list.
I had enough of these surprises.
The Simple Fix
I opened Google Sheets and created a simple table with columns...
Task name. Department. Frequency. Role. Priority. Whether it was getting executed. How efficiently. Whether it had an SOP. Who was responsible.
Then I created a pivot table, Business Function-wise.
What I Discovered
The clarity was extraordinary.
Some tasks were only getting done from an employee's memory, no SOP, no system, no accountability.
Some compliance and regulatory tasks were being skipped completely.
I found red flags I never knew existed in my own business.
The Result
A simple spreadsheet gave me more clarity about my business operations than years of daily involvement ever had.
That clarity gave me confidence to take the next steps. Identify critical tasks. Streamline them. Make sure they get executed without my involvement.
It was a simple method. But it was a huge achievement.
The lesson is simple.
You cannot fix what you cannot see.
And you cannot see what you have never mapped.
Clarity before delegation. Always.
